AI receptionist · Dental practices

An AI receptionist for dental offices that answers while you are chairside.

An AI receptionist for a dental office is a voice agent that answers the calls your front desk cannot reach, books and reschedules against your practice management system, and routes insurance and clinical questions to a person.

New patients call in the evening, once they have finished comparing practices. Cancellations arrive first thing, while the desk is checking someone in. The agent takes both, books into the diary under the rules you set, and tells you what it did.

Consulting first

A receptionist is the most common place a practice starts, not the only one. The audit comes first: where your revenue is created and where it is lost. In most practices that is the chair that sat empty and the new patient who rang once, and those are two different fixes.

What the audit is →
Hear a real call

The problem

An empty chair does not reschedule itself.

Two things empty a dental diary, and neither happens at a convenient moment. A new patient rings while both front desk staff are mid check-in, hears a recording, and calls the next practice on the results page. A caller who reaches a person tends to book; a caller who reaches a recording tends to keep scrolling.

Then a cancellation lands at eight for a slot at eleven, and there are three hours to fill a chair that costs the same whether somebody is in it or not. Neither of these ever looks like a problem on the day. The desk was busy, the phone rang, the day carried on. The cost is the one number nobody writes down.

The script

It asks what your front desk asks, in the order that decides the booking.

  • 01

    New or returning

And which dentist or hygienist, because that decides which slots exist at all.

  • 02

    What they need

Check-up, hygiene, pain, a broken crown, a consultation for something cosmetic. In the caller's words, not the agent's.

  • 03

    Your urgency list

You write down what stops the call and puts a person on: trauma, facial swelling, bleeding that will not stop. The agent matches your list, it never decides for itself, and anything unclear escalates too.

  • 04

Insurance, before it costs you the booking

Which plan, and whether you are in network with it. The longest call your front desk takes is the one where somebody guesses.

  • 05

When they can actually come in

The slots your diary allows, the rules about who may be booked where, and short-notice availability when a cancellation has just opened one.

  • 06

    Anything you ask today

The script is yours. What your desk already asks goes in, and anything that should never be asked over the phone comes out.

Compliance

Where patient data actually sits.

Dental is covered by HIPAA the same way medicine is, and the commitment is the same: we sign a business associate agreement with you before anything touches patient data, and every vendor in the call path has signed one with us. What differs in dentistry is where the data already lives.

  • Your practice management system stays where it is

Dentrix and Eaglesoft usually run on a server in the building, and nothing here asks you to move that. The agent needs to read availability and write an appointment. It does not need to hold your patient records.

  • What integration actually means on your system

Open Dental publishes a REST API. Dentrix integrates through Henry Schein One's partner programme and Eaglesoft through Patterson's, which are approvals rather than a public endpoint. We confirm which you are on, and what it will genuinely allow, before quoting rather than after.

  • The signed chain

Retell for the voice, Twilio for the line, OpenAI and Anthropic for the model. Every one of them signs a business associate agreement and you get copies. The consumer tiers of the model providers do not, and nothing we build touches those.

  • What is not in the path

Telegram and the other consumer messaging apps do not sign one, so they are not used. Retention is set per agent to a number you choose rather than left at a vendor default.

The practical order is compliance paperwork alongside the build, not after it, so the pilot starts on real calls without anything waiting on a signature.

The recording

Hear one.

A real inbound call, recorded with consent, from the one industry where we have permission to publish one. Listen to how the agent handles a caller, not to what it is booking.

There is no published dental call and there will not be one soon: a real patient call carries protected health information, and putting it on a public website would need that patient's written authorisation. The recording above is a detailing client, the one industry where we have it. The agent is the same, only the questions change.

The limits

What it will and will not do.

It does not diagnose, ever, and there is no setting that turns that on. It does not tell a caller whether their pain is urgent; it matches the list you wrote and puts a person on. If somebody describes facial swelling with difficulty breathing or swallowing, they are told to seek emergency care immediately and the call is flagged. It can book, reschedule, cancel, take a new patient intake, answer hours, location and parking, and confirm which plans you are in network with once you have given it that list. Everything it is allowed to say is written down before it goes live.

The full process

What changes

What is different once it runs.

  • The evening calls become appointments.

New patients ring after they have finished comparing practices, which is exactly when the desk has gone home.

  • A cancellation stops being a hole.

The slot is known the moment the call ends rather than whenever somebody next opens the diary.

  • Insurance stops costing you the booking.

The plan question gets asked and answered the same way every time, and the ones that need a person get routed instead of guessed at.

  • You can see what the phone is actually doing.

Every call has a transcript and a log, so how many callers you are losing stops being a matter of opinion.

FAQ

Questions dental practices ask.

01How is this different from other AI agencies?

Most agencies sell from a fixed list of AI services, so the answer is decided before anyone looks at your business. JDAI.Solutions starts with an audit: where revenue is created, where it is lost, and which of those gaps a system can close. We then build only what can be justified on return, which is why this is consulting rather than a catalogue.

02Does it work with Dentrix, Eaglesoft or Open Dental?

Open Dental publishes a REST API, so that one is straightforward. Dentrix goes through Henry Schein One's partner programme and Eaglesoft through Patterson's, which means an approval and a slower setup rather than a public endpoint. We establish which of those you are facing before we quote you, because it is the part that moves the timeline most.

03Can it tell a patient whether we take their insurance?

It can confirm which plans you are in network with, from a list you give it, and say so plainly. Anything past that, a benefits breakdown, an annual maximum, whether a specific procedure is covered, goes to the person who handles it. Guessing at that on the phone loses a patient twice: once when the answer is wrong and again when the bill arrives.

04What happens if someone calls in pain?

The agent matches the list you wrote rather than judging anything itself, and anything on that list ends the call and puts a person on. If somebody describes facial swelling with difficulty breathing or swallowing, they are told to seek emergency care immediately. It never tells a caller their symptom is nothing.

05Is it HIPAA compliant?

It is built to be, which is the only honest way to answer that, because HIPAA compliance is a property of a system and how it is run rather than a badge a product carries. We sign a business associate agreement with you, every vendor in the call path has signed one with us, your practice management system stays where it is, and retention is a number you choose. You get the agreements.

06How long until it is answering our phone?

A single line pilots on real calls within a week of the audit. The practice management integration is usually the long pole, not the agent, which is exactly why we confirm what your system allows before quoting. You listen to recordings before it handles anything beyond the pilot.

Cost

What drives the quote.

Pricing is not published. Every engagement gets a fixed quote after the audit. These are the things that move it.

  • Call volume, and whether the agent answers overflow only, after hours, or every call.
  • Which practice management system you run, and whether booking into it is an API call or a partner approval.
  • Whether it books and reschedules or captures and hands off.
  • The compliance layer: the HIPAA add-ons the platforms charge for sit on your accounts, alongside retention and language rules.

Where else it runs

Dental is one of many. Medical practices, law firms, home services and auto detailing run the same pattern, and so do niches too small to register a search volume, from veterinary clinics to mobile carpet cleaning. The questions change, the rules about what the agent may say change, and who signs what changes. The missed calls are the constant.

Next step

Your next system starts with twenty minutes.

A complimentary audit, run by an engineer. A fixed quote before anything is built. The audit is yours to keep, whichever way you decide.
